Role Overview

We are a luxury real estate brand based in Sonoma County, California, serving Bay Area buyers and sellers across San Francisco, Marin, East Bay, and the Peninsula.

We are looking for a Marketing Operations Manager to run the operational engine behind our content and lead generation system.

This role sits at the center of our marketing ecosystem, responsible for turning content into distribution, distribution into funnels, and funnels into measurable leads.

You will manage the execution layer across:
content repurposing, funnel operations, CRM systems, email marketing, and performance tracking.

This is a full ownership role. You are not just supporting marketing, you are operating it.

The ideal person is systems-minded, highly organized, comfortable with AI tools, and able to independently manage execution without needing oversight.

Key Responsibilities

1. Content Operations & Distribution
  • Repurpose long-form content (YouTube, podcast, Substack) into short-form assets
  • Create and edit Reels/TikToks optimized for retention and engagement
  • Distribute content across Instagram, TikTok, LinkedIn, Facebook, Substack, and newsletters
  • Schedule and publish content using Go High Level and supporting tools
  • Ensure all content aligns with target buyer/seller personas and geo-specific SEO strategy
  • Optimize hooks, captions, keywords, and CTAs for performance
2. Funnel Execution & Automation (Go High Level)
  • Build and maintain buyer and seller funnels inside GHL
  • Manage opt-in pages, thank-you pages, automations, and nurture sequences
  • Ensure CRM tagging, segmentation, and pipeline flows are correctly structured
  • Monitor funnel performance and implement conversion improvements
  • Troubleshoot automation issues and ensure systems run smoothly
3. CRM & Email Marketing
  • Manage and maintain CRM database hygiene (tags, duplicates, segmentation)
  • Send and manage email broadcasts and automated sequences
  • Export and manage lists for external email platforms (e.g., ActivePipe)
  • Track email performance (open rates, CTR, deliverability) and optimize accordingly
4. Analytics & Optimization
  • Track performance across content, funnels, email, and lead generation
  • Report weekly on KPIs (views, engagement, conversions, lead volume)
  • Identify performance gaps and recommend improvements
  • Continuously optimize systems based on data and audience behavior
5. Marketing Operations Ownership
  • Own the marketing calendar and execution timeline
  • Ensure all deliverables are published on schedule and fully QA’d
  • Manage workflows across platforms and systems
  • Proactively identify issues before they escalate
  • Operate independently with accountability to measurable outcomes

Required Skills & Experience

  • Strong experience with Go High Level (funnels, automations, CRM, pipelines)
  • Experience in content repurposing across multiple platforms
  • Proficiency with AI tools (ChatGPT, Claude, etc.)
  • Strong short-form video editing skills (CapCut, OpusClip, etc.)
  • Understanding of social media distribution, SEO/GEO, and audience targeting
  • Experience with email marketing and database segmentation
  • Ability to manage work independently and deliver publish-ready output

  • Real estate / luxury / relocation industry experience
  • Experience with Substack, podcast platforms, LinkedIn newsletters
  • YouTube ads experience
  • ActivePipe or similar email systems experience
