We are looking for a highly proactive, detail-oriented, and fast-forward-thinking Executive Assistant /Executive Virtual Partner to support a busy real estate professional. This role is focused on maintainingand optimizing existing systems, managing day-to-day operations, and providing both executive andpersonal support to ensure smooth business and lifestyle management.The ideal candidate is someone who can work independently with minimal supervision, take initiative,and confidently manage responsibilities without requiring constant handholding. You will act as theexecutive’s right hand, ensuring that operations, communication, and priorities are consistently organizedand executed efficiently.
Key Responsibilities
1. Calendar & Inbox Management
● Manage and optimize the executive’s calendar, including scheduling, rescheduling, andprioritizing meetings and appointments
● Organize and manage inboxes by filtering emails, flagging urgent items, and ensuring timelyfollow-ups
● Draft, respond to, and send professional emails on behalf of the executive
● Maintain strong communication flow and ensure no important tasks or messages fall through thecracks
2. Administrative & Operational Support
● Handle daily administrative tasks and operational coordination
● Maintain and manage systems within:
○ Lofty CRM
○ Asana
○ Google Workspace
● Track tasks, deadlines, workflows, and priorities
● Assist with file organization, documentation, reporting, and process management
● Help maintain existing automations and workflows.
● Ensure smooth day-to-day business operations
3. Client Communication & Relationship Management
● Manage selected client interactions through email and other communication channels
● Maintain professional, timely, and clear communication with clients
● Conduct follow-ups and assist in nurturing client relationships
● Support CRM management and ensure client information is properly updated and organized
4. Transaction & Real Estate Support
● Assist with transaction coordination tasks and administrative real estate support
● Work within platforms such as:
○ Lofty
○ SkySlope
○ Asana
○ Google Workspace
● Help maintain organization throughout active transactions and client pipelines
● Support systems already established within the business
5. Travel & Personal Management
● Research, coordinate, and book travel arrangements including flights, accommodations, and transportation
● Create detailed travel itineraries and manage travel logistics
● Handle last-minute scheduling or travel changes efficiently
● Assist with personal tasks, appointments, vendor coordination, and lifestyle management
● Support household-related coordination and remote errand management as needed
